Duties and Responsibilities

  • Performs, as part of a team, loading and unloading of various stock by lifting to and from shelves.

Duties and Responsibilities 

  • Generate sales invoices in the system and send invoices to the customer on a daily basis.
  • Perform AR account reconciliations and prepare AR statement and send to customers on a weekly basis.
  • Post cash received daily to accounts receivable in the system and reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
  • Follow up payment status and facilitate payment of invoices due by sending bill reminders and contacting customers.
  • Verify discrepancies by and resolve customer billing issues, investigating, and resolving any irregularities or inquiries.
  • Maintain accounts receivable files, records and customer AP contacts.
  • Prepare related AR report including cash receipt report, accounts receivable aging report and overdue AR report.
  • Verify expense report, invoices and vendor statement and submit expenses report to expense approval system before process a payment.
  • Obtain approval and prepares accounts payable checks/payment on a due-date basis and send remittance advise/checks to vendors.
  • Maintain vendor files and records and vendor AR contact.
  • Maintain a fixed asset and low value asset log and perform a regular fixed asset counting.
  • Assist in regular inventory counting and verification.
  • Assist in intercompany billing process.
  • Assist internal and external auditing.
  • Performs office admin and accounting duties as assigned.

Education/Experience

  • University/college degree in a related discipline is an asset.
  • Previous accounting experience preferred.
  • Proficiency in Microsoft Office products, Word, Excel, and Outlook
  • A complete or comprehensive understanding of accounting practices and procedures
  • Solid communication skills, with proficiency in speaking and writing.

We are looking for a dependable person who enjoys working in a team oriented fast paced environment. This job requires good customer service and organizational skills as well as the ability to multi-task.

Duties will include, but not be limited to, the following:
Order Entry and Back Orders
• Verifies orders for accuracy, including but not limited to part numbers, pricing, quantity, shipping location, billing information, etc..
• Accurately and efficiently enter and processes orders into ERP system, according to established guidelines and procedures.
• Confirms product availability in order to fulfill customer orders; reroutes orders as necessary based on stock availability; cross-references part numbers as needed,
communicates proactively with customers to determine most efficient lead-time and enters orders accordingly.
• Manages backlog of assigned open sales orders, ensuring that orders flow through the order fulfillment cycle quickly.
Customer Service
• Provides order follow up communications with customer.
• Facilitates ongoing communication/collaboration between all departments to achieve order quality and improvement.
• Manage and respond to inbound customer service-related inquiries.
• Build customer relationships through open and interactive communication.
• Provide accurate and timely information related to various order statuses.
• Research, manage and process return authorizations, order tracking, shipment issues and defective quality claims in accordance with department policies and procedures.
• Work across various departments and teams to resolve customer issues.
Customer Set-Up / Pricing
• Create and set up customer account in system and maintain customer profile.
• Performs as a second level support for pricing as needed.
• Investigates pricing discrepancies; if unable to resolve, contacts sales to verify correct pricing information.
OTHER DUTIES
• Responsible for assisting with purchasing order and inventory management including system processing

REQUIRED QUALIFICATIONS
